How many can the venue accommodate for conferences?
The main event barn can seat up to 120 delegates. The barn can be converted into a party space for evening celebrations and has a dance floor, disco ball, speaker for playlists and DIY bar area. You may choose to hire a mobile disco or live band during the evening if so desired.
What is included in conference venue hire?
Venue hire is for exclusive use and includes the whole site, event barns, accommodation, breakout spaces, fully equipped kitchens, outdoor spaces, car park and lots more. There is a minimum-hire requirement of 2 nights.
How accessible is is the location?
Barnutopia is located about 5 miles outside Oswestry, near the village of Llansilin, Powys. Access by car is easy with the final few miles along country lanes (no dirt tracks). Public transport options are a short taxi-ride away (8 miles to Gobowen train station and 5 miles to Oswestry bus terminus. The nearest airports are Liverpool (65 miles), Manchester (65 miles) and Birmingham (85 miles).
How accessible are the conference venue spaces?
Accommodation, conference facilities, bathroom block, camp kitchens, dining rooms and the car park are within easy walking distance. Most areas are accessible by wheelchair.
What’s the venue set-up like?
Barnutopia has a refurbished barn with power, light, WiFi, dance floor and a DIY bar area. For smaller groups there are curtains allowing the barn to be split in two. You can see our site plan here and barn floor plans here. There is additional breakout space in the garden room and Tanycoed rooms. These rooms are also used for catered dining for smaller groups.
What accommodation is available?
Barnutopia has 9 luxury glamping yurts and cabins sleeping from 2 to 10 each. Each unit is fully furnished with real beds, power, light, heating and free WiFI. We can accommodate up to 37 guests sharing accommodation) in separate beds. You may hire bell tents or pitch your own tents for additional guests. In the event you need more accommodation, we have a list of nearby guesthouses and B&Bs.
What facilities are there?
Included in hire are round conference tables, rectangular tables, chairs, 600W bluetooth speaker and microphone (may also be used for playlists), projector and screen. There is sitewide free WiFi (33+ Mbps), which is more than adequate for streaming.
Is there any outdoor space?
There is plenty of outdoor space for activities both on the yurt field and on the camping field across the lane. In addition, we can organise activities for you, including our (free) scavenger hunt, which takes delegates on a 2-mile walk around the local countryside following clues and completing challenges.
What’s the cost?
The cost depends on the number of guests, whether the conference is at the weekend or midweek, the number of nights, whether it is catered or self-catered and other specific requirements you may have. You can get a rough idea on our venue hire page. However, this pricing is designed with weddings in mind and some items may not be required for corporate events.
How are the lighting and acoustics?
The event barn is well lit and it is possible to present to groups without the use of a microphone; although, you may choose to use one. There is no ambient noise to disturb your conference.
What incentives will the venue throw in?
Conference venue hire is for the entire site, barns, accommodation and facilities. We provide fire pits and firewood free of charge so that delegates may socialise in the evening. There are 2 fully equipped camp kitchens for use any time, but we are happy to set-up a tea and fresh coffee station with biscuits/snacks during conference sessions. Please ask if there’s anything else you would like. If it is a reasonable request and we can oblige, we will do so.
What else is going on at the venue?
No other events happen at the same time. We continue to take care of our animals (horses, donkeys, pigs, dogs and cats) but these activities do not interfere with your conference and are often a point of interest for attendees.
How does catering work?
You may choose to self-cater, bring in caterers or use Barnutopia catering. Or any combination thereof. Many groups choose to take advantage of breakfasts and an outdoor griddle on at least one evening. We can cater to special dietary requirements with advance notice.
